How do in-house recruiters stop accidentally ghosting candidates after interviews?
In-house recruiters stop accidentally ghosting candidates after interviews by turning every interview into an owed reply with a named owner, a date the candidate already heard, and a draft a person still sends. An ATS can fire a rejection template once someone marks Reject. It does not chase a hiring manager who owes a scorecard. A Gmail snooze and a Slack ping still have to be set by hand.

What the job actually is
In-house recruiters stop accidentally ghosting candidates after interviews by turning every interview into an owed reply with a named owner, a date the candidate already heard, and a draft a person still sends. I'll get back to you Friday is not a reminder, a stage change, or a rejection until something else happens to it.
The desk is usually one to three recruiters or coordinators at a Slack-first startup. Candidates live in email and the applicant tracking system. Hiring managers live in Slack. The failure in-house recruiters name on r/recruiting is the same one every time: we interviewed a candidate several weeks ago and I forgot to decline him. He's now emailed asking for a response.
Greenhouse's 2025 Workforce and Hiring Report, a survey of 2,200 candidates in the US, UK, and Ireland, found 63% were left in the dark after interviews, 78% among Gen Z. Ashby's 2026 Recruiting Operations Benchmarks, covering more than 54 million applications, put interviewed candidates at an average 21 days to archive. That window is the leak. The buying prompt collapses four jobs: the pipeline, the scorecard chase, a reminder you remembered to set, and a later note a person still sends. The agency version of a recruiter in Slack is on the AI recruiter page. A promise typed in email is on how to stop forgetting emails you promised.
Which method wins which job
Fund the row that matches the leak. A stage change, a scorecard ping, and a candidate-facing note are neighboring jobs.
| Job | Wins it | Why |
|---|---|---|
| Pipeline, stages, and candidate records | Greenhouse or Ashby | Greenhouse holds the req and can send a rejection email when someone marks Reject. Ashby is the same job at many startups. Candidate records live here. |
| Sourcing and InMail to people who are not looking | LinkedIn Recruiter | LinkedIn Recruiter searches with 40+ filters and sends up to 150 InMails per seat per month. Pricing is quote-only. This is outbound, not the later reply after a panel. |
| Sourcing and outreach an agent runs itself | Lindy | Lindy screens applicants, sources people who are not applying, and books interviews from Slack. Team starts at $49.99 per user per month for 5,000 credits. Always allow exists. |
| A scorecard due ping after the interview | Greenhouse scorecard reminders | Every interviewer gets a Scorecard due email one hour after the interview, then daily for up to 10 business days. Slack is optional. The candidate is not on that ping. |
| A reminder you already remembered to set | Greenhouse follow-up or Gmail snooze | Greenhouse follow-up reminders and Gmail snooze bring work back at a time you picked. I'll get back to you Friday in the debrief does nothing until you set it. |
| An owed reply that survives, a person still sends | Concrete | Ready-made Recruiter role in the hiring channel, with Gmail and Calendar. Each morning it nudges the hiring manager who owes feedback. It drafts the candidate note as a Send / Edit / Skip card. No auto-send mode. Design-partner preview; see what it is. |
A rejection template fires when someone clicks Reject
Greenhouse's reject flow is exact. Mark Reject, pick a reason, review the template, choose a delay, then Reject and send email. There is also Reject and don't send email, for a candidate still in play on another req. The template is not a clock. It fires when a person clicks.
Ashby's 2026 report is the operational picture. Non-interviewed candidates are archived in a median of about six days, and roughly 58% of them within nine days. Interviewed candidates take 21 days on average. At 150+ days, archive numbers spike. Ashby says those candidates more than likely fell through the cracks. Candidate NPS for people who never interviewed holds near 9 if archived within a day, falls to 7 at 10 to 24 days, and to 3 at 50 days or more.
Greenhouse alerts fire when a candidate sits in a stage too long, and follow-up reminders land on My Dashboard on the due date. Both are useful. Both still need someone to mark Reject and choose to send. Silence after a panel is how 63% of Greenhouse's 2025 respondents described being left in the dark after interviews.
Hiring manager feedback is a different leak
The recruiter often has the note written in their head. The hiring manager has not submitted the scorecard. Greenhouse cannot deactivate scorecard reminders. The default is one hour after the interview ends, then once a day for up to 10 business days, or until the scorecard is in. Slack can carry the same ping if the interviewer has the Slack integration on. Greenhouse suggests Slackbot, a private DM, because a public channel can show candidate status to people who should not see it.
Ashby's 2026 scorecard data is why that ping is not enough. At companies under 25 employees, scorecard completion sits around 49%. At 500 or more employees it is closer to 72%. Completion is higher for hired candidates than for people who will be rejected, so the card on a no is the one most likely to sit. A recruiter task in Greenhouse is advancing or rejecting once all scorecards for the stage are in. If the card sits, that task never appears, and the candidate waits until someone rejects them anyway.
Name a date the candidate already heard, and send that update even when the scorecard is late. Greenhouse's 2022 Candidate Experience Report, a survey of over 1,500 employees and job seekers, found almost 58% expect to hear back in one week or less on the initial application, and over 70% want feedback on an interview. A status note on Friday is the clock. The no can wait for the scorecard. The silence cannot. Promises typed in a Slack thread are a neighboring job, on the commitments-from-threads page.
The caveat that should decide the setup
The failure candidates name first is silence after we'll be in touch. The failure recruiters name first is an AI that emails the candidate on its own. After a panel, a wrong send is expensive. They may still be in play for another role. The first-choice offer may not be signed. Greenhouse lets you delay the rejection email. Lindy waits for approval on anything with outside impact, and Always allow turns that gate off. Guardrails apply in shared Slack threads only, not in the web app, Slack DMs, iMessage, or SMS.
Keep the jobs split. The ATS still wins the pipeline, stages, and records. LinkedIn Recruiter still wins sourcing and InMail. Lindy still wins sourcing and outreach it runs itself. Concrete is an AI employee that works in existing Slack channels. The Recruiter role, with Gmail and Calendar, keeps every I'll get back to them Friday as a follow-up that survives, nudges the hiring manager who owes feedback each morning, and drafts the candidate note as a Send / Edit / Skip card. There is no auto-send mode. Follow-ups survive reboots. It is in design-partner preview; the longer thesis is on the vision page. It does not source candidates, and it does not connect to LinkedIn or an applicant tracking system. Drafting with a send gate is a neighboring job, on the approval-before-send page.
Step by step: the setup for a 1-to-3 person talent desk
This is the boring version that holds when the recruiter still owns every later reply and the hiring manager still owes the scorecard. Pin it in the internal hiring channel, not after the first candidate emails asking where they stand.
- Step 1: Name the leak. Pipeline, scorecard chase, a snooze you set, and a candidate-facing note are different. The ATS covers stages. LinkedIn covers sourcing. The recruiter job after an interview is the later reply until a person sends.
- Step 2: Name a date at the end of every interview. Tell the candidate when they will hear back, and write that date down as an owned follow-up the same hour. Greenhouse's 2022 survey is the bar: 58% expect a week on the application, and over 70% want interview feedback. Send an update on that date even if the decision is not ready.
- Step 3: Turn I'll get back to you into a follow-up that still fires. A Greenhouse follow-up reminder or a Gmail snooze only works if you remembered to set it. The line in the debrief is not a reminder until something keeps it. One owner of the send button. A backup named in the same pinned note.
- Step 4: Chase the scorecard in Slack, keep the candidate update separate. Turn on Greenhouse scorecard reminders, Slack included. If the card is late, ping the hiring manager in the hiring channel. Do not wait for the card to send the candidate the delay you already promised.
- Step 5: Send the no the day the decision is made. Approve and the invite is owed. Decline and the rejection is owed. Waiting for the first-choice offer to sign is a status note, not a reason for silence. Ashby's 21-day archive average after an interview is too long to wait with nothing said.
- Step 6: Keep send as a tap on the exact text. Draft the note. Send stays a tap. Always allow, Auto, or a prompt that says draft only is a different setup. A person who sat through a panel is not a bulk auto-reject.
Questions people ask
Does an ATS stop recruiters from ghosting candidates after interviews?
An ATS holds the pipeline and can send a rejection template when someone marks Reject. Greenhouse also lets you Reject and don't send email. Scorecard reminders ping the interviewer. Stage alerts fire when a candidate sits too long. The later reply still needs a person to click send.
How soon should a candidate hear back after an interview?
Name a date at the end of the interview and keep it. Greenhouse's 2022 survey found 58% of candidates expect a reply in one week or less on the initial application, and over 70% want interview feedback. Send an update on the date you named, even if the decision is not ready.
Should a recruiter wait for hiring manager feedback before sending a rejection?
Wait for the scorecard before you send a no that quotes the panel. If the hiring manager owes feedback, send the candidate the delay on the date you already named. Greenhouse scorecard reminders fire one hour after the interview and daily for up to 10 business days. A status update is not a decision.
Can I send automated rejection emails after someone has interviewed?
For people who never interviewed, ATS bulk templates are the usual path. After an interview, a wrong auto-send is expensive. They may still be in play for another role. Greenhouse lets you delay the rejection email. Lindy waits for approval on outside impact, with Always allow. Concrete has no auto-send mode.
What is the difference between ghosting an applicant and ghosting someone you interviewed?
Ghosting an applicant is silence after they applied. Ghosting after an interview is silence after they took time off and showed up. Greenhouse's 2025 survey found 63% of candidates were left in the dark after interviews. The later reply is the job this page is about.
Do Greenhouse scorecard reminders close the loop with the candidate?
No. Scorecard reminders ping the interviewer, by email and optionally Slack, until the scorecard is in or 10 business days pass. They do not email the candidate. Recruiter tasks include advancing or rejecting once all scorecards are in. The candidate still hears nothing until someone marks Reject and chooses to send.
