Guide
As a freelancer, do I have to be always available in a client's Slack?
No. As a freelancer you do not have to be always available in a client's Slack. Write hours and a reply window into the engagement, commonly 24 hours or 4 business hours, acknowledge the same day, and keep a list that still fires when you are offline. Slack's notification schedule pauses your pings. Instant replies train the client to expect them.

What always available actually means
Always available in a client's Slack means sitting in the channel, green-dot on, ready to type the moment they ping. A reply window is a different job. You name the hours you work, you name how fast a message gets a first answer, and you keep a list that still fires on Thursday.
Slack feels like chat, so a Tuesday ask that sits until Thursday reads as ghosting even when the engagement says next business day. Writers on r/freelanceWriters describe a client who messages several times and gets frustrated when a reply takes a few hours. The 10pm quick question you answer in three minutes teaches the client that 10pm works.
Write the window into the engagement. Amy Sept, writing for Upwork on 13 March 2026, tells freelancers to reply within 24 hours, and to urgent requests within 4 to 6 hours or as soon as they are back online. Mursa publishes 4 business hours for standard client Slack, 1 business hour for urgent, and the next business day after hours. Its July 2026 workspace audit logged about 3,100 client-side messages across 14 client channels over 27 weeks, and recorded zero after-hours escalations.
Slack's own Workforce Index surveyed 10,333 desk workers between 24 August and 15 September 2023. 37 percent log on outside company hours at least weekly. Of those, 54 percent say they feel pressured to. People who feel obligated to work after hours register 20 percent lower productivity scores and 2 times greater burnout than people who log off at the end of the day.
Keeping the ask out of a buried thread is a neighboring job, on how consultants keep client requests from getting buried. Drafting the client-facing reply is another, on the approval-before-send page. The later chase until the work went out is on the follow-up teammate page.
Which tool wins which job
Fund the row that matches the leak. A quieter phone, a status, and a surviving list are neighboring jobs.
| Job | Wins it | Why |
|---|---|---|
| Pause your own pings after hours | Slack notification schedule | Preferences, Working hours, Allow notifications: Every day, Weekdays, or Custom. Outside those hours, alerts pause. Other people see a snooze icon and can override a DM once per day. The channel stays silent. |
| Show the client your hours | Slack status | Update your status with the hours and the reply window. Slack can set an automatic status after your working hours. Depending on workspace settings, that status may be visible in Slack Connect. |
| Land a reply at 9am that you wrote at 10pm | Slack scheduled send | On desktop, the arrow next to the paper plane. On mobile, tap and hold send. Works in a channel, DM, or thread. The client sees the morning, not the night you typed it. |
| A reminder you already remembered to set | Slack To-dos | Hover a message and pick Remind me about this, or type /remind. Creating a to-do does not set a reminder by default. Guests cannot create channel reminders. Members and guests can use To-dos on every Slack plan. |
| A personal task list across several clients | Todoist | Todoist for Slack turns a message into a task with /todoist or Add a task. Pro is $7 per month, or $60 per year. You can add the integration to only one Slack workspace. |
| Asks caught without copy-paste, a person still sends | Concrete | Receipt marks on inbound messages. Send / Edit / Skip cards; no auto-send mode. Follow-ups survive reboots. Each morning it nudges the owner of every open ask. Design-partner preview; see what it is. |
What Slack itself does when you log off
A notification schedule pauses alerts outside the hours you choose. Workspace owners can set a default. Your own schedule overrides it. Other people see a snooze icon next to your name. When they send a DM they can override it once per day for an urgent message. You can add specific people to a VIP list so their pings still come through. None of that posts in the client channel.
You can schedule a message for later from a channel, DM, or thread. That is how you write the reply at 10pm and have it land at 9am without training the client to expect 10pm.
A status is the line next to your name. Availability is the green or grey dot. Slack sets you away after 10 minutes of desktop inactivity. You can set yourself away by hand. Slack can also set an automatic status after your working hours, in a huddle, or in focus mode. Depending on workspace settings, that status may be visible to people in Slack Connect.
Activity always shows mentions, reactions, and thread replies. You can also show channels set to All new posts, and to-do reminders. If you are signed into more than one workspace on desktop, Slack puts a numbered badge on the workspace icon when there is unread activity in another workspace. That badge is a count of unread activity. The list of open asks still has to live somewhere else.
Guest accounts, Slack Connect, and who can install an app
Most freelancers land in a client's Slack as a guest, or they share a channel through Slack Connect from their own workspace. Those two setups are different installs.
Guests cannot install or remove apps. They cannot authorize a Slack account to use apps. They cannot set reminders for channels or members. Single-Channel Guests cannot use shortcuts. Multi-Channel Guests can use shortcuts only if a Workspace Owner turns that on. Personal To-dos and Remind me about this still work for guests on every plan.
Slack Connect is different. Each side stays in its own workspace. Shared channels sit on paid Slack plans on both sides. The Free plan only allows one-to-one external DMs. Pro is $7.25 per user per month billed annually, or $8.75 billed monthly, as of 23 October 2026. Apps added by the other organization show that organization's Slack icon, and people in the channel can see messages from bots and apps. A shortcut from an app is available to you only if that app is installed to your workspace. Adding an app to a client's workspace can need that client's admin. Ask them, rather than promising a one-click install in a workspace you do not own.
Todoist connects to only one Slack workspace per Todoist account. Confirmation that a task was added is visible only to you. If you are the guest, you cannot add it yourself.
If the client wants you sitting in Slack
Checking a few times a day is a reply window. Sitting in Slack for a block of hours just in case is paid availability. Freelancers on r/antiwork and r/freelanceWriters treat unpaid Slack monitoring as on-call. They bill a retainer for the window, then full rate for the work inside it.
The IRS looks at behavioral control when it classifies a worker: whether the business has a right to direct what work is done and how it is done, through instructions, training, or other means. Instructions about when and where to work sit in that bucket. Always-on Slack is one fact among many. It does not decide the label on its own. A tax lawyer decides the rest.
Put the hours, the reply window, and what counts as urgent in the statement of work. Name the timezone. Name the next-business-day rule after hours. A reaction that means seen, in the queue is a receipt. Silence until Thursday is how the thread dies.
The caveat that should decide the setup
The failure mode freelancers name first is an unsupervised reply in the client's channel. One wrong send can cost the account. The quieter failure is this prompt: you answered at 9pm once, and now every 9pm ping is an emergency.
A second caveat is public chase. People in a Slack Connect channel can see messages from bots and apps. A reminder posted in the shared thread shows the client you are chasing the work. Keep the nudge off the thread the client can read. The recap the client sees still waits for a person to send. Drafting that recap for a tap is on the consultant approval page.
A third caveat is auto-capture that you cannot install. A guest cannot add Todoist or Concrete to the client's workspace. Slack To-dos with an actual reminder are the native path that still works. If you work through Slack Connect from your own paid workspace, you can install on your side. Concrete is an AI employee that works in existing Slack channels: every incoming message gets a receipt mark, drafts land as Send / Edit / Skip cards, and there is no auto-send mode. After downtime it sweeps channel history, thread replies included. Follow-ups survive reboots. Each morning it nudges the owner of every open ask. Install is one button per Slack channel, and each workspace gets its own private machine. It does not give one inbox across every client Slack. It is in design-partner preview; the longer thesis is on the vision page.
Step by step: set a reply window the client can live with
This is the boring version that holds when you are a guest in several client Slacks. Pin it for yourself. Do not wait for the first 9pm chase.
- Step 1: Write hours and a reply window into the engagement. Name your timezone. Name the hours. Name the first-answer target: 24 hours, or 4 business hours standard and 1 business hour urgent, next business day after hours. Define urgent as a business impact, not a feeling.
- Step 2: Put the window where the client already looks. Set a Slack status with the hours and the reply window. Put the same line in the channel description and in the welcome. Slack can set an automatic status after your working hours.
- Step 3: Pause pings outside those hours. Set a notification schedule for weekdays, or custom days. /dnd until tomorrow morning works for one night. A VIP list lets a named person through. The channel still waits until you open Slack.
- Step 4: Acknowledge the same day. Reply, or react, so the client knows the ask landed. Name when the real work comes. Got it, doing Thursday is a receipt. Silence until Thursday is how the thread dies.
- Step 5: Capture the ask out of the thread that same day. Hover the message and pick Remind me about this, or Add to-do and add a reminder. Creating a to-do does not set a reminder by default. If you can install an app on your own workspace, copy the ask into Todoist the same day.
- Step 6: Schedule the morning reply when you type at night. Write it when you have the words. Send it when the window opens. The arrow next to the paper plane is how you avoid teaching 10pm.
- Step 7: Sweep each workspace in the morning. Open Threads and Activity, including workspaces that only show a badge on the icon. Channel history hides thread replies unless you open them. One AI does not watch every client Slack you are in.
- Step 8: Keep a person on the send button. A receipt and a to-do are not a reply. Draft if you want speed. Send stays a tap. There is no auto-send mode that is safe in a client channel.
Questions people ask
Does a Slack notification schedule answer the client channel?
No. A notification schedule pauses alerts outside the hours you choose. The channel stays silent. Other people see a snooze icon next to your name. When they send a DM they can override it once per day for an urgent message. Messages still arrive. You review them when you resume, or the next morning.
Can a guest install an app that watches a client's Slack after hours?
No. Guests cannot install or remove apps, and they cannot authorize a Slack account to use apps. They also cannot set reminders for channels or members. Personal To-dos and Remind me about this still work for guests on every plan. Adding an app to a client's workspace needs a member, often an admin.
How fast should a freelancer reply in a client's Slack?
Write the target into the engagement. Upwork's guidance is a reply within 24 hours, and within 4 to 6 hours for urgent requests or as soon as you are back online. Mursa's published client-Slack rule is 4 business hours for standard messages, 1 business hour for urgent, and the next business day after hours.
Should I bill for hours spent waiting in Slack?
If the client requires you to sit in Slack for a block of hours, treat that as paid availability. Freelancers on Reddit bill a retainer for the window, then full rate for the work inside it. Checking a few times a day is a reply window. Sitting there just in case is on-call.
Does a Slack status stop clients from messaging at night?
No. Status shows what you are up to. Availability is the green or grey dot. Slack can set an automatic status after your working hours. Depending on workspace settings, that status may be visible in Slack Connect. Clients can still send. The reply window in the engagement is what they are agreeing to.
Will one tool watch every client Slack I work in?
No. Slack workspaces do not share apps. Each install is per workspace, and a guest cannot install. Todoist connects to only one Slack workspace per account. One inbox across every client Slack is a different product. Concrete gives each workspace its own private machine.
Should an AI send the overnight reply without me tapping send?
Freelancers treat unsupervised client replies as the failure that costs the account. A receipt and a scheduled morning send are the overnight jobs. The reply the client sees still waits for a person to tap send. Concrete has no auto-send mode.

If your team already runs its work in Slack, start with one role in one channel. Concrete is an AI teammate that works in your Slack channels and asks a person to approve before anything goes out. It is not a chatbot builder, and it never sends on its own.
